Personal Asst / Household Mgr - Inner Loop - $DOE


Private executive and family in search of experienced Household Manager / Personal Assistant for a large estate in the River Oaks area. Must have previous management experience and also be available to work a flexible schedule (at times weekends, evenings, and/or holidays). Bilingual Spanish a plus. Duties will include the following:

 

Manage and Supervise Staff:

 

  • Responsibilities will include all aspects of managing the property including the supervision of approximately 12 housekeeping and wait staff employees.
  • Accomplish objectives by supervising staff, organizing and monitoring work process.
  • Support and respect staff regarding issues or concerns they may have and implement team building techniques to maintain good communication and productivity.
  • Develop and assign staff work schedule.
  • Delegate tasks on a daily basis.
  • Distribute payroll accordingly.
  • Resolve problems and implement new procedures as needed.

 

Property Maintenance:

 

  • Perform daily walk through of property and residence to note/address any security and maintenance concerns (Example: note falling tree limbs, light bulb replacements, furniture repair, water leaks, etc.).
  • Schedule and meet with vendors as needed regarding property maintenance or repairs (plumbers, landscapers, HVAC, pool, etc.).
  • Research and gather information on potential contractors regarding improvements or renovations at property or residence; request bids/proposals, relay related information and discuss with homeowner.
  • Handle security service schedule and review the security activity reports on a daily basis.
  • Work closely with offsite administrative personnel regarding scheduled events or any other matters regarding property.

 

Events:


Assist homeowner in coordinating and planning events and activities including:

  • Planning of Menu
  • Wine Selection
  • Linen Selection
  • Ensure adequate staff on schedule
  • Valet
  • Décor
  • Florist; etc.

 

General Responsibilities:

 

  • Handle incoming telephone calls, transfer accordingly and/or take detailed messages.
  • Ordering items requested by homeowner.
  • Driving and shopping as needed.
  • Maintain household filing system.
  • Make sure all silver is cleaned, polished and ready for use at all times.
  • Submit invoices for payment approval and mail payments accordingly.
  • Greet guests and notify homeowner of arrival.
  • Handle incoming registered/certified mail, courier deliveries, FedEx and UPS deliveries.

Compensation: Salary dependent upon experience.

 

Requirements:


Must have previous management experience and also available to work a flexible schedule (at times weekends, evenings, and/or holidays). Bilingual Spanish a plus.


Skills/Qualifications:

 

The candidate must have a flexible schedule as they may be required to work holidays or overtime.  In addition, he/she will eventually be listed as primary contact to address matters such as an emergency maintenance, staff, or security issue that may occur during their respective off hours. 
 

The candidate should:


  • Have excellent management, organizational, communication and problem solving skills.
  • Work well within a team or independently.
  • Have an assertive, positive attitude with good presentation.
  • Be familiar with general office equipment (computer, fax/copy machine).
  • Bilingual: English/Spanish (preferred).
